Job Description

Company Overview: We are an established immigration company based in Singapore, specializing in providing relocation and immigration services to clients from around the world. We are currently seeking a dedicated Administrative Executive to join our team. Job Responsibilities: As an Administrative Executive, you will be responsible for providing administrative support to our team of Relocation Consultants and assisting with various tasks related to client appointments and documentation.

Your Main Responsibilities Will Include

  • Working with Relocation Consultants and Clients: Collaborate closely with our team of Relocation Consultants to ensure smooth workflow and client satisfaction. Communicate professionally and promptly with clients, providing assistance and addressing any inquiries or concerns they may have. Maintain a high level of customer service by delivering accurate and helpful information to clients.
  • Uploading/Logging Client Appointments: Handle the timely and accurate uploading and logging of client appointments into our internal systems. Organize and maintain appointment records and documentation, ensuring confidentiality and data security.
  • Confirming and Rescheduling Client Appointments: Contact clients to confirm scheduled appointments and ensure their availability. Proactively manage appointment scheduling conflicts and assist in rescheduling as needed. Maintain an updated and well-organized appointment calendar.
  • General Administrative Support: Assist with general administrative tasks such as filing, data entry, photocopying, and scanning documents. Prepare and format reports, presentations, and other business-related materials. Handle incoming and outgoing mail, email correspondence, and phone calls professionally.
  • Adhere to Company Policies and Procedures: Follow company policies, procedures, and guidelines to ensure compliance with regulatory requirements and maintain high standards of service.

Qualifications

  • No previous experience is required for this role. We welcome individuals who are passionate about the immigration industry and eager to learn and grow.
  • Strong communication skills with fluency in English. Proficiency in additional languages would be an advantage.
  • Excellent organizational and time management abilities, with a keen eye for detail.
  • Good interpersonal skills, able to work collaboratively within a team and build positive relationships with clients.
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with basic office equipment.

Working Hours

  • The working hours for this position are from 9:00 am to 6:00 pm, Monday to Friday.
