Job Description

This advertisement is for recruiting for the position of Admin Assistant cum Receptionist.

If successfully selected, you will be seconded to a MOE Junior College located in Whitley.

Contract Period : One Year From 1 August 2023 – 31 July 2024

Option Period : option to extend the Contract for a further period of 5 months (from 1 August 2024 to 31 December 2024).

Personnel To Be Deployed t The Following Hours

  • Mondays to Thursday : 8:30 am to 6:00pm, inclusive of 1hr lunch break
  • Fridays : 9:00am to 6:00pm, inclusive of 1hr lunch break
  • Service not required on Saturdays, Sundays and gazetted public holidays.
  • Note: The timing might change based on school needs. School will communicate with the personnel 2 weeks in advance.

The Services Required Are Set Out As Follows

  • Administrative duties generally include:
  • Reception duties,
  • Handling calls and enquiries from the public, parents, students and staff.
  • Attend to day-to-day needs of students.
  • Finance:
  • Checking & follow-up on delivery & proper submission of supporting documents and endorsement by staff for payment.
  • Pupil’s Edusave Application: assist in collation students’ application for edusave withdrawal forms, whenever required for iBEN data entry by CSO/AE and payment, compilation of edusave & cash collection by programmes and classes for payment purpose.
  • Student Admin matters:
  • Maintaining and updating of student’s data records
  • Assist Financial Assistance Scheme (FAS) – processing of forms
  • Others:
  • Help out in special events of the school, for e.g, School’s Achievers’ Day, when required.
  • Provide ad-hoc admin support to HODs
  • Any other duties as assigned by P, VPs, AMs

The Personnel shall minimally have the following qualifications, skills and experience:

  • Qualification: GCE ‘O’ Level Certification or equivalent
  • Proficient in the following software applications – Microsoft Office (Word, Excel, PowerPoint)
  • Three (3) years of relevant experience in administration and counter service preferable in school environment
  • Proficient in English (Oral and Written)
